The challenge

DAY Vision has been in business for over 20 years, and over time, keeping up with the ever-changing industry standards had fallen by the wayside. Internal processes needed streamlining, outdated software needed updating, project management systems were no longer functional, accounts needed to be analyzed for budget and profitability, contracts and proposals needed re-evaluation.

The solution

I Introduced new industry-standard software, implemented a robust project management system, wrote structured internal processes to increase productivity, streamlined web design and development workflows, oversaw development of a ticketing system, analyzed accounts and budgets, and made recommendations for policy changes in contracts and proposals.

the evaluation process

Internal changes made a big impact on productivity and communication.

Over my first year with DAY Vision, I spent a lot of time evaluating internal and external business practices. I implemented many processes and contractual changes which have helped the business operate much more efficiently and increased profit margins dramatically. 

Software

Introducing industry-leading software such as Figma, Teamwork, Proposify, StatCounter, Usertesting.com, InVision, Crossbrowsertesting.com, and many others helped increase efficiency and allowed for improved quality of end products. 

Processes

Writing structured internal processes in all aspects of the business, including social media marketing, web design and development, client onboarding, project management, communication, project estimates and proposals, and more, created a better understanding of next steps and expectations among team members. 

Account Analysis

Upon reviewing profitability, it came to my attention that many accounts had consistently gone over budget. To correct this inbalance, clients who were being undercharged were instead presented with options to lighten the scope or increase the budget. Many accounts chose to increased their budgets, returning more favorable profit margins.

Policy Changes

Contracts needed more specific language to protect the business against project abandonment, non-payment, timing of client deliverables, and scope creep. Adding verbiage to proposals and contracts has helped minimize loss and keep projects within budget.

Improving internal processes increased efficiency and made it possible to bring in more large-scale projects.
